Enquiries and sales records
When you contact us, we store the details you submit, your product or service interest, and the correspondence needed to handle your enquiry. Authorised staff can use these records to contact you, prepare quotations and follow up on your requirements.
Our legal basis is taking steps at your request before a contract, or our legitimate interest in handling business enquiries. We keep records only as long as needed for the enquiry, customer relationship and applicable record-keeping obligations.
Business prospect research
We may research publicly available company information and professional contact details to identify businesses that could benefit from Monitor X. Records may include a business location, a person’s published name and role, business contact details, source links and an assessment for our sales team to review. Our basis is our legitimate interest in identifying relevant business opportunities; a research record does not establish consent to marketing emails.
OpenAI processes the public business research requests and search results used to prepare these suggestions. Staff review the evidence before using it. You can ask us to correct or remove your personal details, or object to their use for direct marketing, using the contact details below.
Email updates
The optional marketing checkbox is separate from your enquiry. You can unsubscribe using the link in marketing emails or by contacting us. We keep a suppression record to respect your choice.
Email open signals
Sales emails and email campaigns may include a small tracking image so our team can see when it loads. We record first and last open times and a count of signals, with privacy-protected automatic loads shown separately. These signals do not prove that a message was read. We do not save recipient IP addresses or email-app details in the CRM open records.
Contact us to request untracked correspondence. You can also block remote images in your email app; this may prevent open signals. Marketing emails include an unsubscribe link.
Website analytics and cookies
With your permission, we measure public page visits, referring websites, device category and approximate location derived from your network address. We do not store your raw IP address in the analytics records. A daily anonymous identifier helps estimate visits; it changes each day. We do not associate these analytics records with CRM contacts.
Your analytics choice is saved in this browser. Staff sign-in uses an essential session cookie. Optional analytics are disabled until you accept them and are excluded when your browser sends a recognised do-not-track preference. Analytics records are retained for 90 days.
Hosting and email providers
The website and sales database are hosted on infrastructure operated for Ultra Controls. When email delivery is connected, Twilio SendGrid processes message content and recipient details to deliver emails and, where configured, return replies to the sales team.
Your rights and contact
You can ask to access or correct your personal information, request deletion or restriction where applicable, and object to processing based on legitimate interests.
